What to check before your first factory order in China
Before you commit to a first order, decide what you need to know about the supplier and how each answer will be checked. This is a starting checklist for discussing the scope of a factory visit—not a certification or a guarantee of supplier performance.
Start with the company and the production location
Ask for the company’s registered name, business licence and factory address. Compare these with the quotation and the proposed contracting company. Ask the supplier to explain any differences. Establish whether you are dealing with a manufacturer, a trading business or a combination of both.
Check capability against your actual product
A large workshop is not enough on its own. Focus the visit on the processes your order needs.
- Which steps are completed on site and which are subcontracted?
- Can the supplier demonstrate equipment relevant to your materials and specifications?
- Who will manage the order and answer production questions?
- What production schedule is proposed, and which assumptions could change it?
Make the sample a written reference
Record the agreed materials, dimensions, finish, colour, packaging and labelling. Photograph the approved sample and keep a versioned specification. If a requirement changes, confirm it in writing before production so that both parties work from the same reference.
Agree how quality will be checked
Discuss inspection timing and acceptance criteria before the order is placed. Ask how the factory identifies nonconforming goods and records corrective actions. Product testing and destination-market compliance may need separate qualified specialists; do not treat a general factory visit as proof of compliance.
Turn observations into follow-up actions
A useful report separates what was observed, what the supplier said and what remains unverified. Record the visit date, the scope, supporting photos where permitted, open questions and the evidence needed to close them. A visit is a snapshot, not a guarantee of future production quality.
